ACCOUNT ACTIVATION AND SERVICE DELIVERY POLICY

Rules for registration, activation, handover of usage rights and delivery of Selling Sync services.

1. Service provider and scope

Hemidi Joint Stock Company (hereinafter “Hemidi”) provides Selling Sync software under a software-as-a-service (SaaS) model. This policy governs registration, account activation, handover of usage rights and service delivery to organizations, businesses or individuals using Selling Sync (hereinafter the “Customer”).

  • Registered office: 483 Nguyen Oanh, Go Vap Ward, Ho Chi Minh City, Vietnam.
  • Business registration number: 0318971437; issued on 28 May 2025 by the Business Registration Office, Department of Finance of Ho Chi Minh City.
  • Legal representative: Hoang Quoc Vu.
  • Website: https://sellingsync.com
  • Email: contact@hemidi.com
  • Telephone: (+84) 96 5096 039.
  • Address for in-person submissions: 483 Nguyen Oanh, Go Vap Ward, Ho Chi Minh City, Vietnam.

This policy applies to Hemidi’s provision of the right to use Selling Sync. Delivery of the Customer’s goods to buyers on Amazon or other sales channels is governed by separate transactions and agreements between the relevant parties.

2. Service delivery method and scope

The service is provided online through a Selling Sync account. Hemidi hands over the service by granting access, activating the service plan and sending confirmation to the registered email address; plan details and the usage period are displayed in the account.

Core features may include connecting supported sales channels, synchronizing data, managing SKUs and inventory, tracking and processing order workflows, and viewing reports and operational recommendations. The specific scope depends on the selected plan, permissions granted and features offered when the transaction is concluded.

A standard SaaS plan does not involve physical shipping, delivery charges, installation discs or source-code handover. Implementation, data migration, dedicated training or custom development is provided only when scope, cost and schedule have been agreed before work begins.

3. Eligibility and technical requirements

The Customer must have legal capacity to enter into a contract under applicable law; a person registering on behalf of an organization must be authorized to represent it. The Customer must provide accurate information, use an email address under their lawful control and have the right to connect the relevant sales accounts.

Device requirements and service availability:

  • Suitable devices: desktop or laptop computers with an Internet connection.
  • Browsers: the latest stable versions of Chrome, Edge, Firefox and Safari.
  • Service regions: no geographic restrictions.
  • Supported sales channels, marketplaces and account types must be disclosed before purchase.
  • Software access: every day of the week, except during maintenance, incident resolution or notified restrictions.

Software access hours differ from support team working hours. The Customer bears the cost of their devices, Internet connection and third-party services. These amounts are not considered charges collected by Hemidi unless expressly stated in the service purchase order.

4. Account registration and trial activation

The Customer visits the Selling Sync website, selects registration and provides the required information explained in the form. Before opening an account, the Customer can review the Terms of Service, Privacy Policy and relevant operating conditions, and actively confirms agreement through the mechanism displayed by the system.

The Customer verifies their email address or completes the authentication method displayed. Hemidi may request necessary additional information if discrepancies are detected or authority to manage the account cannot be verified. Once registration conditions are met, the system grants access and notifies the Customer of the account status.

New Customers receive a free 14-day trial under the program conditions and do not need to provide credit-card details at the start. The trial period begins when trial access is successfully activated; its start and end times are displayed in the account.

When the trial ends without a paid-plan subscription, the system stops data synchronization features and does not automatically create a debt or charge a fee. If the Customer upgrades during the trial, the paid-period start date and treatment of any remaining trial time are disclosed before purchase confirmation.

5. Purchasing and confirming a paid plan

Before purchasing, the Customer can review the plan name, features, channel and SKU limits, user/device allowances, billing cycle, usage period, promotions, total amount, taxes and related fees, payment method and activation deadline. The Customer can amend their selections and confirm transaction conditions before submitting a purchase request.

Payment follows the Pricing, Payment, Service Cancellation and Refund Policy. For bank transfers, the Customer must use the published company account details and include the service purchase order reference or other instructed identifying information.

Service confirmation includes the transaction reference, recipient account, plan and limits, amount and payment status, start/end dates, renewal status and support channel. Purchase information and accepted conditions must remain accessible through the Customer’s account.

Automatic renewal and charges for subsequent periods occur only with an agreement and valid payment authorization. Having an account, using a trial or saving a payment method does not by itself replace the required consent.

6. Activation deadlines and service period start

The following timeframes apply to Hemidi’s processing activities:

  • Business days are Monday through Friday, excluding Vietnamese public holidays and Tet; support hours are 08:30–17:30, Vietnam time.
  • Deadlines expressed in continuous minutes/hours are not converted to working hours.
  • The paid period starts on the date agreed and confirmed in the service confirmation.
  • If Hemidi delays access for a reason for which it is responsible, time without access is not counted toward the purchased period; Hemidi adjusts the term or resolves the corresponding charges.
  • Initial data synchronization time is determined separately after a valid connection, depending on data volume and third-party API limits, up to a maximum of 24 hours. Hemidi communicates progress, outstanding data and identified causes; sending an activation email is not evidence that all data has been synchronized.
ScenarioStarting pointMaximum timeframe
Trial accountValid registration and verification completedWithin 15 minutes
Paid plan via payment gatewayThe system confirms successful payment and sufficient information to grant accessWithin 15 minutes
Paid plan via bank transferHemidi receives full payment and identifies the corresponding account/purchase orderWithin 01 business day
Contract-specific implementationAgreed prerequisites metAccording to the contract/service order schedule

7. Handover verification and delayed delivery

The Customer checks login access, plan name, enabled features, limits and usage period. Access is considered handed over when it is granted to the correct account, matches the purchased scope, is usable and has been notified to the Customer. Where the agreement includes implementation or initial synchronization, those items are checked against separately agreed criteria.

If payment has been made but activation is late, the wrong plan is assigned or access is unavailable, the Customer sends the purchase order reference, account email, payment time and an error description to contact@hemidi.com. Passwords, OTPs and full card numbers are not required. The Customer should check with support before paying again to limit duplicate charges.

Hemidi verifies the information, reconciles payment and communicates a remedy. When Hemidi expects to miss a published delivery deadline, it proactively notifies the Customer of the reason, affected scope and revised deadline so the Customer can choose to continue or request termination of the undelivered portion.

If Hemidi cannot provide a paid service, the Customer receives a refund for the undelivered portion; if no part has been provided, the corresponding payment is refunded in full. A 03-day refund request limit does not exclude the resolution of incorrect charges or services that were not provided.

Adjustments, refunds and payment-return timeframes follow the Pricing, Payment, Service Cancellation and Refund Policy while safeguarding mandatory legal rights. Failure to respond to a handover notification does not remove the Customer’s right to report errors or make a complaint.

8. Connecting and using the service

The Customer logs into Selling Sync, selects a supported channel, grants permissions through the official connection mechanism and reviews the permitted data and actions. After connecting, the Customer checks synchronization status, SKU mappings, input data and operational settings before applying them to business activities.

Hemidi processes data and performs actions within the authorized features, permissions and settings. The Customer uses accounts assigned to authorized users and must not share login details or grant permissions beyond their authority.

Channel, SKU, feature, user and device allowances follow the purchased plan. Over-limit conditions and additional charges must be displayed or agreed before application under the pricing policy.

API access depends on granted permissions, account status and each platform’s technical limits; known restrictions must be clearly communicated. Documentation describes features currently provided. Experimental features, planned features or integrations not yet implemented do not automatically become entitlements of a purchased plan without a specific agreement.

9. Maintenance, incidents and technical support

Hemidi receives requests concerning accounts, access permissions, connections, synchronization, feature usage and service reconciliation.

For third-party incidents, Hemidi helps identify the affected scope and available remedies within its control; specific responsibilities are determined by the cause, agreement and applicable law.

Planned maintenance affecting access or core features is announced at least 24 hours in advance by email or account notification. In a system-security emergency, Hemidi may act immediately and notify the Customer as soon as possible. Incident or maintenance notices state the affected scope, expected duration and necessary instructions, with updates when circumstances change.

Availability, restoration-time or service-credit commitments apply only under an SLA expressly identified as applicable to the Customer’s plan.

10. Canceling renewal, suspension and termination

The Customer can cancel renewal in account administration. Cancellation applies to the next period; current access continues until the end of the paid period, with no automatic charge for the next period. The system displays the expiry date and cancellation status; if the action cannot be completed, the Customer sends a request to the support email.

A Customer wishing to stop the service immediately must specify the requested termination date. Hemidi confirms the termination time, remaining access, charges incurred and corresponding refund conditions. Ceasing use, canceling renewal and requesting data deletion have different consequences, which are explained before confirmation.

The service may be suspended or terminated when the usage period expires without valid renewal, at the Customer’s request, for a Terms of Service breach, for overdue fees beyond the period specified in the Terms of Service, or at the request of a competent authority. Hemidi provides reasons and remedies when permitted and appropriate to the circumstances.

The Customer has 30 days from termination to request an export of operational data under the Terms of Service. Requester verification, exportable data, handover methods and retention/deletion periods follow the Privacy Policy and data processing agreement.

The data-export request period does not mean that all data is deleted after 30 days or limit mandatory data rights under applicable law.

11. Receiving and resolving feedback, requests and complaints

The Customer contacts contact@hemidi.com, hotline (+84) 96 5096 039 or the submission address in Section 1. The request should include the account email, transaction reference if available, issue, occurrence time, relevant documents and desired resolution.

Hemidi receives and verifies requests as necessary, classifies them, performs technical checks/reconciliation, communicates a proposed resolution and records the outcome. The following timeframes are proposals that require confirmation and consistent publication on the Technical Support page:

  • Initial response time runs from receipt of the request.
  • Expected resolution time runs from receipt of sufficient information to investigate; if information is missing, Hemidi identifies what is needed in the initial response.
  • Expected timeframes do not exclude mandatory statutory deadlines or rights.

Approved refunds are returned to the original payment account or card within 07–14 business days from refund approval and receipt of sufficient valid information for processing.

Data-rights requests and data incidents follow the corresponding data-protection procedure and are not automatically subject to the technical support timeframes above. If dissatisfied with the outcome, the Customer may request a review or use lawful dispute-resolution methods. Failure to complete the support process must not exclude the right to seek protection from a competent authority under applicable law.

12. Relationship with other policies and effectiveness

This policy applies together with the Terms of Service, Privacy Policy, Pricing, Payment, Service Cancellation and Refund Policy, documentation and any SLA/DPA identified as applicable to the Customer. Related links and versions are provided before the Customer confirms a transaction.

In the event of differences, mandatory law and valid transaction-specific agreements apply. Changes affecting costs, limits or benefits follow the notification, consent and paid-period protection mechanisms in the pricing policy and do not automatically apply retroactively.

Hemidi publishes the Vietnamese version in an easily accessible location on the website. If an English version is available, both versions must be updated consistently; language differences must not be used to reduce the Customer’s rights under applicable law.
